Recording Secretary
The Recording Secretary is responsible for filing, record-keeping, and archiving and managing the office’s duties in that regard
The Recording Secretary shall keep full, accurate and impartial account of the proceedings of all regular or special membership and Board meetings, ensuring that these records include a copy of the full financial report presented by the Secretary-Treasurer;
The Recording Secretary shall record all alterations in the bylaws;
The Recording Secretary maintains a policy log.
The Recording Secretary assists the President in preparing meeting notices and agendas for EC meetings and GAs.
The Recording Secretary shall answer correspondence and fulfill other secretarial duties as directed by the Board;
The Recording Secretary is responsible for ensuring that all incoming mail is received, logged, and distributed.
The Recording Secretary shall file a copy of all letters sent out and keep on file all communications;
The Recording Secretary is responsible for ensuring that all correspondences, where necessary, are responded to.
The Recording Secretary shall report on all important correspondences and lead discussion on business arising from correspondence at EC meetings and GAs.
The Recording Secretary shall prepare and distribute all circulars and notices to members;
The Recording Secretary shall have all records ready on reasonable notice for auditors and Trustees;
The Recording Secretary shall preside over membership and Board meetings in the absence of the President of Assembly
The Recording Secretary is responsible for ensuring that all official documentation of CUPE 2626 is translated in a timely fashion.
The Recording Secretary may be assigned specific tasks and duties by the president or by the EC.
On termination of office, the Recording Secretary must surrender all books, seals and other properties of the Local to her successor. 11.8.17. Subject to Article 14, the position of Recording Secretary is a paid position.
